AI sales follow-up email after a callThe follow-up, drafted.
In your best rep's style.

After a call, your AI assistant drafts the follow-up email from what was said, in the style of your best real follow-ups, with prices only from your price book. The rep reads it, fixes anything that's off and sends it while the call is still fresh.

The old way

Find your notes. Open the CRM. Copy the contact. Find last month's email. Rewrite it from scratch. Check the price. Log it on the deal. Or just ask.

In your own words Draft a follow-up to today's call. We agreed on a pilot at two sites.

Your assistant takes what the rep tells it, plus the calls, emails and meetings already logged on the deal, and writes the follow-up the way your best reps write theirs. We build that style from three or four follow-up emails you consider great. Any price comes from your price book, never from a guess. Once the email has gone, your assistant can log a note on the deal when the rep confirms.

What you get back

A draft worth sending, not a template.

The draft recaps what the customer said, confirms what was agreed and names one next step with a date. The rep checks it against the call, fixes anything that’s off and sends it. The voice stays theirs, and so does the relationship.

A follow-up email after a sales call. Short, specific, sent the same day.

The best follow-ups are short and specific. They show you listened, confirm what was agreed and make the next step easy to say yes to. Here’s a structure you can copy.

Follow-up after a call · plain text
Subject: [Their company] and [your company]: next steps

Hi [first name],

Thanks for your time [today / on Tuesday]. You said [their problem, in their words].

What we agreed:
- [Agreement 1, e.g. a pilot at two sites]
- [Agreement 2, e.g. pricing as quoted, attached]

Next step: [who does what] by [date]. [One easy question, e.g. "Does Thursday at 10 work to confirm the sites?"]

[Anything you promised to send, attached or linked.]

[Your name]

Four rules that make it work

  1. 01
    Send it the same day

While they still remember the call, and before anyone else follows up first.

  2. 02
    Use their words

Repeat the problem the way they described it. It shows you listened.

  3. 03
One next step, with a date

Two next steps is a to-do list. One is a plan.

  4. 04
    Keep prices exact

Quote from your price list, or attach the quote. Never round a price in an email.

What stays with a person

The promises are the rep's to make.

Sending it

The rep reads every follow-up and sends it. Nothing goes to a customer without them.

Discounts and terms

Prices come from your price book. Anything off the book, like a discount or special terms, is the rep's or manager's call.

What was really agreed

Only the rep was on the call. If the draft says more or less than was agreed, they fix it before it goes.

How it's set up

Your rules, written down. Then followed every time.

Set up for you as part of the Sales package, typically in one to two weeks. No technical staff needed: one person who knows how the work flows, plus logins to your apps.

Questions

How soon should you send a follow-up after a sales call?

The same day, ideally within a few hours, while the call is fresh for both of you. A same-day email also gives the customer something to forward to anyone else who needs to agree. Having a draft ready when you hang up makes that easy.

Can AI write follow-up emails that don't sound generic?

Yes, if it learns from your own best emails rather than from everyone’s. We build your follow-up style from three or four real emails you consider great, and each draft uses details from the actual call and deal. Generic copy comes from having nothing specific to work with.

Does it log the email in our CRM?

It can log a note on the deal after the email goes out, once the rep confirms. Nothing is added or changed in your CRM without that yes.
